Blog 13 | PL-900: Describe the options for business logic in Dataverse

Business logic defines how data should behave in a business solution. For example, you might validate a discount, calculate a value, or trigger an action when a record changes.

Business Rules

Business rules provide a no-code way to apply simple logic and validation in Dataverse.

You can use them to:

  • Set or clear column values
  • Set default values
  • Validate data and display error messages
  • Make fields required on forms
  • Show or hide fields on forms
  • Enable or disable fields on forms

Business rules are useful when the requirement is simple and can be handled declaratively.

Example: If Country is USA, apply a rule to the form to show or enable the State field.

Power Fx

Power Fx is the low-code formula language used across Microsoft Power Platform. In Dataverse, Power Fx can be used with formula columns to calculate values.

Example:

Calculate a total price from quantity and unit price.

Formula columns display a calculated value using a Power Fx formula.

For PL-900, remember:

Power Fx = formulas and calculations

Power Automate

Power Automate cloud flows are used when something needs to happen automatically in response to an event.

For example:

When a high-priority Case is created → send a Teams notification.

Power Automate is particularly useful when the business logic involves multiple actions, processes, approvals, or integration with other services.

Other Dataverse Calculation Options

Dataverse also supports calculated columns and rollup columns.

  • Calculated column → calculates a value using a formula.
  • Rollup column → aggregates values from related records, such as the total value of Orders for an Account.

These are useful Dataverse capabilities, but for the current PL-900 objective, focus primarily on understanding business rules, Power Fx, and Power Automate.

Key Takeaway

For the PL-900 exam, think about the requirement first:

  • Business rules → simple no-code business logic and validation
  • Power Fx → formulas and calculations
  • Power Automate → automated actions, processes, and integrations

The exam is less about memorizing every Dataverse feature and more about choosing the right business logic approach for a given scenario.
